Item Status

Item Status designates the circulation availability of each item record in Horizon.

The Item Status plays a role with the Pull List assignment, with requesting, with the availability of the item, and more.

Archived

Used by libraries to indicate an item is not available for requesting or circulation immediately, that library staff must be contacted to retrieve these items.

Claimed Returned

Set by staff when the borrower claims they have returned an item that is still checked out to them. Ages to missing after 365 days.

 Damaged

Using the CKI window staff can mark an item missing. Will override a transit status.

Also adds CKI note to item record that item is damaged.

Item hold expired

Items expire off the hold shelf after 10 days of having status h, this is a day end process that happens at about midnight

Item being held

Status applied at CKI of item, the hold is trapped and a notice to the borrower generates with the hold block.

Available

Automated status controlled by CKI window.

On shelf, ready to check out.

You can not manually make something available; you must check it in the CKI window.

Lost

Items move from Lost after being overdue for the number of days determined by a library's circulation privilege settings. This is a day end process.

 Staff can set an item to Lost when a patron indicates they have Lost an item.

 Lost items’ replacement cost is applied to the borrower’s record.

 Lost items roll over to missing after 365 days.

Item missing

Lost items that are paid for become missing.

Claimed returned items roll over to missing.

Libraries should change an item status to missing if they cannot locate an item on their shelf.

Missing does not apply replacement cost to a borrower’s record.

Missing Inventory

Automated status applied by inventory. It indicates the item was not scanned as part of inventory and should have been, or that there was an inventory error with the item.

 Newly Acquired

Don’t use this, use “t” instead. SELCO uses this as an automated status as part of acquisitions and serials.

Checked out

Automated status that indicates this item is loaned out.

 Automated Status created via Acquisitions and Purchase Orders.

Shelving Cart

An automated status used by a couple of libraries that indicates the item has recently been returned

In Cataloging

The item is still being added to the system, physically processed and not yet available to patrons. These items, including magazines, should be checked in to trap holds or move to available when ready to circulate.

 Transit (Hold) Request

An automated status that indicates the item is on its way to fill a request (hold).

 An automated status that indicates the item is returning to its owning library.

Withdrawn

The library marks an item withdrawn when it is no longer available to circulate. SELCO deletes these items monthly.
