Notifications to Users in Evergreen (April 2025)
Notices in Evergreen will not be enabled until May 1st 2025.
SMS notices will take longer to enable likely will not be enabled until early July.
Most notices will send automatically—staff won’t need to take any action
SMS
If a user has an SMS number, they’ll receive notices by SMS.
Lost notices are not sent by SMS.
SMS Hold Notices require the "SMS Holds" box to be checked in the user’s account.
If "SMS Holds" is selected, an SMS number is required.
The carrier info is not needed and will be hidden.
Email
If there is no SMS number and the user has an email address, notices will go by email.
Checking "Email Hold" in the user settings will print the email address on the hold slip.
Printed Notices
If the user has neither SMS nor email, staff can print notices from the notice server.
Phone Calls (Manual)
Libraries that call users should check "Holds by Phone" in user settings so phone numbers appear on slips. Calls must still be made manually by staff.
An SMS, email or print notice will still generate

Hold Notices: Will generate and send throughout the day as holds are trapped.
All Other Notices: Will generate at least once a day. The exact time will be determined on May 1st.
Auto-Renewals: Tried 4 days before the due date. A notice will show if each item was renewed or not.
Pre-Overdues: Sent 3 days before the due date.
*First Overdue: Sent 3 days after the due date.
*Second Overdue: Sent 21 days after the due date.
*Lost Notice: Sent at 30 days overdue. These cannot be sent by SMS.
The wording for each type and method of notice is mostly based on the default templates from Equinox. Library-specific details like contact info, hours, and phone numbers will be pulled from other parts of Evergreen. In the coming months, libraries may have a chance to review, update, and document their own notice text if they choose to.
Email notices will be sent from each library's email address. These addresses were taken from Horizon. Bouncebacks should continue to populate the same email as it did in Horizon. Evergreen will allow you to have multiple email addresses in the User settings, separated by a comma.
Please note email notices cannot be tested until after May 1st.
Print notices will be generated on a print notices server. The link to that server will be provided after May 1st. Each Library System will have a link of PDFs to print. The default format for print notices is for a #10 envelopes with double or single windows. If you do not use #10 envelopes please notify the Help Desk to explore your options after May 1st.
Please note print notices cannot be tested until after May 1st.
There are two main ways to send SMS texts, like notices:
Free Method: Send the message by emailing the user’s phone number through their carrier. This only works if each user’s carrier is listed in Evergreen. It’s free, but delivery rates are low, and fewer carriers support it now.
Paid Service: Use a vendor to send real SMS messages directly, without needing carrier info in Evergreen. This method has a much higher delivery rate. SirsiDynix used to provide this service, and now we’ll use Message Bee from Unique Management, also for a fee.
Please note SMS notices are being contracted with a third party and that setup will not be ready by May 1st. As of May 7th conversation with MessageBee we won’t likely have SMS working until Early July because specific privacy concerns required by FCC and carriers have to be met and approved.
