How to Add Items

In the Horizon Circulation module, from CKI or CKO window, hit the F2 button (or Item→Find Item) on your keyboard. This pops up a search box.

First, search by ISBN. 

If no ISBN, then search by TITLE.

If no ISBN and no TITLE, you need to bring in a new bib record.

SELCO will catalog them for you if you fill out the “Items for Cataloging” form. 

These do not need to be physically sent in delivery to SELCO, just fill out the form.

(Rarely:) If you are not having SELCO catalog for you, then you follow your own workflow for bringing in a new record. Talk with your supervisor/cataloger.

Once you get the email back from the SELCO cataloger, you can search by any index (title, isbn, bib #)


When you see the results of your search, highlight the Title/Author/format of the specific item that matches the FORMAT of the item you want to add. See example on the right

Click on the Show Detail button.



When the bib record displays, hit the F10 button (or Send To icon) on your keyboard.


Exceptions when searching for Adding Items

Sometimes when you search for an item, the only record that comes up looks brief, or you see ON ORDER in the title, or somehow incomplete like this:

NOTE: If you see this type of bibliographic record, please follow the instructions in the Adding Items to Brief Bib Records document instead of continuing with these instructions. 

When in doubt, submit the item for cataloging on the Items for Cataloging Form



From the bib record, hit the F10 button on your keyboard select “Copy/Item List”. (Or use the Send-to button)

Hit OK

This brings up a list of all the items in the SELCO region under this bib number. 

You do NOT select/highlight an item.

If it does NOT bring up a list of items (just a blank screen), that means this is the first copy in the region. Continue with the next step:


Click on the NEW button (DO NOT click on EDIT) See example:


In the blank NEW screen, fill out the following required fields:


a. Item Barcode: scan from the item.

b. IType: according to your library’s settings.

c. Location code: it should default to your library, but check.

d. Collection code: according to your library’s settings.

e. Call Type: usually ddc (for Dewey), but use your library’s settings

f. Call No.: from the spine label OR follow your library’s guidelines to create one OR see these suggestions.

g.   Price: usually printed on item, or check your book order invoice.

h. Item Status: use “t” = ‘in cataloging”.  

 Here is a filled in NEW record: 



Click on the SAVE button.

Click on the CLOSE button.

Go to Open CKI window.

Checkin the item (scan the item barcode).
